What worked for me on ERP rollouts in regulated sectors was a single list made in the first month. That list named every system the ERP would exchange data with and who owned each one. It also said what would happen on the day each link went live. Hospitals and finance companies run on many connected systems, and the ERP touches most of them.
Why do integrations decide the ERP timeline?
Integrations decide the timeline because each one depends on another team, another vendor or a regulator. The ERP core can be configured on schedule while a lab system vendor takes six weeks to open an interface. Every external link is a dependency outside the project team’s control, so it needs a date and an owner early.
The list is longer than people expect. A hospital ERP usually connects to the hospital information system, the laboratory and pharmacy systems, insurance and TPA claim portals, payroll and the bank. A lending or finance company connects to its loan management system, credit bureau feeds, payment gateways, the GST portal for e-invoicing and the bank.
Each link carries its own format and security rule, plus a testing window that both sides can staff.
What goes into an integration dependency register?
The register is a table with one row per integration. Columns cover the source system, the target, the data that moves, the direction, how often it runs, the owner on each side, the format and the go-live date. Add a column for the fallback if the link fails on cutover day.
A sample row makes the idea concrete. Source: the laboratory system. Target: ERP billing. Data: completed test orders with patient ID and test code, sent one way every 15 minutes. Owners: the lab IT lead and the ERP finance lead. Fallback: a manual daily file upload.
Any ERP implementation guide for healthcare and finance teams follow should treat this register as a living document. Review it weekly. A row with no owner is the first risk to escalate, because nobody will chase a vendor that nobody owns.
Which standards and rules shape the work?
Healthcare data increasingly moves in HL7 FHIR, and India’s National Resource Centre for EHR Standards publishes FHIR profiles for the Ayushman Bharat Digital Mission. Finance data carries tax rules. Under GST e-invoicing, each eligible invoice is registered on the Invoice Registration Portal and returns an IRN and QR code before it reaches the customer.
Both sectors handle personal data under the Digital Personal Data Protection Act, 2023. Section 8 requires reasonable security safeguards. The Act’s schedule sets penalties of up to ₹250 crore for failing to take them. So every interface that carries patient or customer details needs encryption and access logging. It also needs a named data owner who can answer an auditor’s questions about who saw what and when, which is the question regulators tend to ask first.
Why fix master data before connecting systems?
Master data has to match before any link can work. Patient identifiers, item codes, cost centres and the chart of accounts must mean the same thing on both sides. A pharmacy item coded one way in the old system and another way in the ERP will break stock and billing on the first day.
Clean and map master data before integration testing starts. Assign one owner per data set, such as finance for the chart of accounts and pharmacy for drug codes. Freeze changes for two weeks before cutover.
Duplicate records need a decision as well. A patient registered twice under slightly different spellings must be merged before go-live, with one surviving record and a log of the merge.
How should the cutover be sequenced?
Sequence the cutover by dependency. Links that feed others go first. Master data loads come before transactions, and transactions come before reports. Run each integration in parallel with the old process for one full cycle, usually a month-end close in finance or a weekly claims batch in healthcare.
Teams buying system integration services should ask for this sequence in writing, with a rollback step per link. That one page often decides whether go-live week stays calm.
Where should you start?
Draft the dependency register before the ERP vendor contract is signed. Ask each system owner to fill their row, and give them one week. Rows that come back blank tell you where the project’s real risks sit.
For hospitals and finance teams, Burhani Technologies in Chennai delivers ERP implementation and integration work with these links planned from the start.
A good ERP implementation guide for healthcare and finance projects starts with that list. Strong system integration services build the plan around it.
