Coaching doesn’t have to be an added stressor. You might love coaching, but you could be overwhelmed by the administrative aspects of having a coaching practice. This can include check-ins, missed payments, program updates, client messages, rescheduling client appointments, writing progress notes for clients, and completing other administrative work at midnight. Your passion needs to be supported by a process. That is not to say you should turn your practice into something cold or impersonal. But rather, you need to create a strong foundation.

Use Your Time as an Asset of Your Business

At the beginning of your career as a coach, you tend to want to say “yes” to anything. Sending a quick message here; adjusting there; taking on an extra session to fit into your busy day. These things seem beneficial, and many times they are.

Although CEOs don’t just react to things. A CEO establishes boundaries for how they will use their time; this is important because the way they use it directly affects its quality.

First, identify where your actual time is being spent. How many hours do you spend each month coaching versus explaining the same item multiple times, looking for the same information again, remembering who has what, etc? Once you recognize the cycle, you can start creating a new, more productive one.

Create An Experience For Your Clients That Does Not Require Them To Depend On Your Memory

There is no reason why you or your clients cannot rely on your ability to remember every little thing. A central resource for all your planning, notes, goal setting, progress, tracking, and communication will enable each of your clients to feel special, regardless of how busy you may be. The fact that you understand what your clients are going through, that you know what they struggled with last week, and that you know what they need to do differently next week, is exactly what sets you apart from other professionals.

Technology can help you develop the most effective systems, grow your client base, and provide the highest level of service with personal trainer software. This tool can provide an additional layer of support to the human side of your business when used right.

Make Informed Decisions From Data

Being able to think like a CEO also includes creating distance from the day-to-day distractions. Who are your clients who are showing good progress? Who are your clients that appear to be falling behind? Which offerings consume the most energy but produce the least results?

These are not unemotional questions. These types of questions help establish a healthy, sustainable business model.

By understanding your numbers, trends, and outcomes of your clients’ experiences, you will be able to make more rational decisions. You will be able to develop improvements within your process without having to guess. You will be able to expand your clientele without adding layers of confusion.

You began coaching because you wanted to help others positively change their lives. Developing a more efficient process simply gives that passion a solid foundation on which to exist.
